What changes when paid access expires?
When a student’s paid institutional access period ends, their usage limits return to the standard free-account limits. Without another active access entitlement, they no longer have full paid access to Eigo.AI.
The expiry process also resets their selected level to Beginner, feedback and definitions language to English, and voice selection to the default. Their monthly AI-token allowance, speaking-time allowance, and pronunciation-attempt limit return to the free-account defaults.
The institution manager receives an email stating how many students’ access periods have expired. Expiry alone does not mean those students should be removed from the institution.
What stays in place?
- The student’s Eigo.AI account remains available, and they can still sign in.
- The student remains in the institution and their assigned class.
- Saved learning progress and previous work are retained; expiry does not delete or clear them.
Students can continue using the features available to free accounts and review previous work. Paid access expiring does not delete the account.
Restore access for students who are continuing
Keep continuing students in your institution and classes. Arrange a new access code or ask Eigo.AI to set a new institutional access period. You can reply to the expiry email or contact us for help arranging access codes.
Use How to view access codes to check code duration and redemption records. Share How to redeem an access code with students who already have a code. Do not ask them to buy another code if they already have a valid unused one.
After access is restored, check the student’s assigned level and relevant settings before they resume study. Renewal does not require creating a new account or clearing progress.
Remove students only when they have left the institution
If a student no longer belongs to your institution:
- Sign in with your manager account and open Institution.
- Go to Users → Manage Users.
- Select the checkboxes beside the students to remove.
- Open the With … users menu, select Remove from institution, and confirm.
See How to remove users from your institution for the illustrated guide. Removal also takes students out of their classes and clears their progress-sharing links. It resets institutional access, temporary access, and custom usage limits, but does not delete their accounts or saved learning progress.
Remove from institution is different from Delete accounts or Clear progress. Do not use those actions simply because a paid access period has ended.
What happens later to inactive accounts?
After a student is removed from the institution, a free student account that has been inactive for more than 12 months becomes eligible for deletion. This is a separate inactivity process, not an immediate consequence of paid access expiring.
The student receives a 28-day email warning and can keep the account by signing in before the deletion date. If the account remains inactive, it may then be deleted following admin review. Students who remain members of an institution are not included in this free-student inactivity-deletion process.
